1. What Automated Features May Do
Depending on your plan and enabled features, automated systems may extract information from documents, suggest transaction categories or matches, identify anomalies, summarize activity, draft communications or accounting artifacts, rank work queues, and prepare forecasts or reports.
2. Human Review Is Required
Automated output can be incomplete, inaccurate, outdated, or inappropriate for your facts. It may misread documents, make incorrect matches, omit context, or generate plausible but false statements. Authorized users must review source records, assumptions, classifications, calculations, approvals, recipients, and final output before posting entries, paying funds, filing, distributing, or relying on it. Automation does not replace professional judgment.
3. Restricted Actions
Backline designs agent-assisted workflows so sensitive actions remain subject to permissions and approval controls. The Service is not intended to let an AI independently approve its own work, release funds, close an accounting period, submit a tax filing, or make a legal, credit, employment, insurance, or investment decision.
4. Data Use and Providers
We may send the minimum information reasonably needed for an enabled feature to contracted model, cloud, document-processing, or observability providers acting for Backline. We require providers to process information for contracted purposes and apply appropriate safeguards. We do not sell connected accounting data or use it for third-party advertising. Any materially different use to train a general-purpose model will require an updated disclosure and any consent required by law or contract.
5. Customer Instructions
You must have authority to submit data for automated processing. Do not place passwords, private keys, or data prohibited by the Acceptable Use Policy into prompts, uploads, or free-text fields. Prompt injection, malicious instructions embedded in documents, and adversarial content may affect automated output; treat external content as untrusted and review resulting work.
6. No Professional Advice or Guarantee
Automated output is informational and preparatory. It is not legal, tax, investment, audit, lending, or other regulated professional advice, and it does not guarantee compliance, accuracy, savings, financing, or future performance. Where Backline separately provides bookkeeping or advisory services under a signed engagement, that engagement—not an automated output—defines the scope and standard of those services.
7. Questions and Feedback
Report a concerning or incorrect automated result to admin@backlinebusinesssolutions.com. Include a non-sensitive description and the relevant record or run identifier when available.
